Vendor & Exhibitor Terms & Agreement

2025 Wholeness Conference

We’re excited to feature businesses that align with our mission to promote whole health. To keep everything smooth, clear and fair for everyone involved, here’s what you need to know before applying:

General Guidelines

  • All vendors/exhibitors must offer products or services that support at least one of the eight dimensions of wellness.
  • Tables must be staffed during exhibit hours on both event days.
  • One conference badge is included with each booth.
  • Vendors are responsible for their own displays, signage and promotional materials (one table and two chairs provided).
  • Set-up can begin at 7:30am and must be complete by 8:15am on Saturday, November 8. Attendees begin to arrive at 8:00am.
  • Tear-down may begin at 4:15pm on Sunday, November 9 and be complete by 5:00pm.

Prohibited Categories

To maintain the integrity of our wellness-focused event, we do not permit vendors representing:

  • Firearms or weapons
  • Tobacco or vaping products
  • Adult entertainment or sexually explicit materials

Fees & Refund Policy

  • Approved vendors will receive payment instructions upon acceptance.
  • Cancellations made before October 13, 2025 are eligible for a refund, minus a $50 administrative fee.
  • No refunds will be issued after October 13, 2025, including for no-shows.
  • If you are unable to attend, you may:
    • Send a substitute in your place
    • Request to credit your fee toward the 2026 conference
    • Convert your booth fee to a scholarship for another business

Liability & Force Majeure

Wholeness Annex & Conference is not responsible for lost, stolen or damaged items. Participation is at your own risk. We are not liable for cancellations due to circumstances beyond our control, including natural disasters, strikes, pandemics or other force majeure events.

Agreement

By applying, you agree to these terms and understand that space is limited. Your spot is confirmed only after approval and payment are complete.
